Background

 

The Personal Facilitator will support the Partnerships Advisor to deliver their role effectively, by enabling access to information which would otherwise be inaccessible to them due to impairment. The activities are varied and include assimilating complex information in a variety of formats and sharing this information with the Partnerships Advisor, supporting with research projects, preparing briefing papers, managing correspondence and monitoring developments in relation to the field of expertise.

 

As well as helping the Advisor to access information in all its forms, the Personal Facilitator is needed to guide, read and locate items when the Advisor attends meetings or other events in unfamiliar locations, in travelling for work purposes and in providing feedback on locations and non-verbal communication.

 

Responsibilities

  • Support the Partnerships Advisor in drafting high quality reports, presentations, visual materials and other forms of written communication. In particular, reading and summarising documents in a variety of formats, interpreting and creating diagrams, proof reading and inputting information into electronic formats.
  • Undertake research and project work to assist the Partnerships Advisor within tight non-negotiable deadlines, tailored to specific audiences and addressing the key issues.
  • Plan for, physical mobility, the visual elements of human interaction and assisting with use of visual materials. This includes driving the Partnership Advisor to meetings as and when required.
  • Proactive management of the Partnership Advisor’s appointments. prioritising and responding as required. Booking venues and arranging for the appropriate equipment to be available, ensuring meeting materials are available to the Partnership Advisor, e.g. agendas, briefings and other relevant information.
  • Proactively review the Partnership Advisor’s inbox and post, prioritising and marking items for their attention, taking the initiative to resolve issues where appropriate, using personal judgement in relation to prioritisation.
  • Represent and communicate on behalf of the Partnership Advisor to a wide range of internal and external partners/stakeholders, when necessary.


Qualifications and Experience

  • Educated to RQF level 3 (A level) or equivalent by experience, with a good understanding of disability and health and safety issues.
  • Ability to develop skills and knowledge within role.
  • Excellent communication skills in order to efficiently develop a good working relationship with the Advisor and, at times, communicate on the Advisor’s behalf, reading aloud clearly and confidently.
  • Excellent organisation and prioritisation skills to deliver tasks with conflicting deadlines, with the ability to work well under pressure and manage a demanding and varied workload.
  • Excellent IT skills including a high level of competency using the MS Office suite of programmes and the ability to manage inboxes and calendars.
  • Experience and knowledge of local government as well as methods involved in social policy and social research, with good analytical and information skills, able to break down tasks and plan effectively across multi-agency dimensions.
  • Ability to absorb a variety of information quickly and re-interpret as necessary and ability to produce accurate work to deadline.
  • Ability to take accurate dictation of letters and notes as well as following instructions when filling in forms.
