People Support Administrative Assistant

Background

 

The People Support team provides a broad range of administrative and transactional HR
services to the council's Fire & Rescue Service.

 

Responsibilities

  • You will provide a reliable, efficient, effective and flexible support of a high level administrative nature whilst complying with statutory requirements.
  • The role includes responding to customer queries, giving standard information and guidance relating to the service, maintaining records and producing correspondence.
  • Monitoring mailboxes, supporting other administrative assistants within the team with their day to day tasks where appropriate and providing data in relation to the role responsbilities on a regular basis.
  • Provide a flexible administrative service to a range of internal and external customers to a
    high standard, undertaking a wide range of relatively complex tasks including the operation of associated systems as required within timescales. For example: production of statistical/management information, reporting on sickness trends and workforce data.
  • Undertake a range of tasks as allocated which will include support to colleagues to manage processes across the team.
  • Be a subject matter expert in a particular area and for specific tasks within the team. For example: Occupational Health referral process, retained recruitment processes, issuing of
    employment contracts and payroll instruction. This will include providing on the job
    training to colleagues on specific areas of the administrative service or systems if required.
  • Supporting the day to day tasks of the service which includes arranging meetings, booking
    resources, managing emails, maintaining and updating electronic systems, photocopying,
    scanning and proof reading documents.
  • Responsible for the accuracy, confidentiality, security and maintenance of personal information in regards to the service and personnel.

 

Experience and Qualifications

  • 4 GCSE A-C passes including English & Maths (or equivalent).
  • Excellent literacy and numeracy skills in order to understand complex written instructions
    and complete a variety of calculations. For example: To calculate leave entitlement and
    basic pay.
  • Ability to establish and maintain effective working relationships with colleagues, partners
    and members of the public.
  • Good communication and interpersonal skills to understand and confidently communicate
    both verbally and in writing to provide clear advice and specialist guidance to a range of
    stakeholders. To present information clearly, concisely and accurately and in ways to
    promote understanding with minimal guidance.
  • Ability to meet set deadlines and to understand when problems need to be referred
    upwards, such as responding to complaints promptly for a quick and accurate resolution.
  • Ability to be analytical or creative where there is a need to interpret a variety of complex
    information or situations in order to solve problems or develop solutions such as analysing
    statistics or organising events.
  • Good working knowledge of Word, Excel and Powerpoint (or equivalent packages) for the
    intergral use of word processing, data processing, report writing , creating enhanced presentations, maintaining computer databases and producing statistical data at a high
    level.
  • Experience of working within a customer orientated environment and providing an efficient administrative service.
