Background

 

The People Support team provide a specialist administrative and transaction HR function dealing with Fire Service pay, terms and conditions. They provide a customer centred service with areas of work ranging from recruitment, workforce planning, issuing of employment contracts and payroll instructions, monitoring sickness absence and booking occupational health medicals.

 

Key Responsibilities

  • Provide a flexible administrative/transactional HR service to a range of customers to a high standard, prioritizing work to meet objectives and deliver a customer focused service.
  • Processes timely and accurate payments, contracts of employment and variations or other administration tasks relating to the team function.
  • Perform related calculations and analyse information to draw conclusions relating to employees’ payments, working hours, leave entitlement or terms and conditions of employment and to process various related tasks appropriately.
  • Follow procedures and processes to respond independently to day-to-day telephone, email and written queries including using initiative to resolve unexpected problems and refer or escalate as necessary.
  • Be a subject matter expert in a particular area and for specific tasks within the team. For example: Occupational Health referral process, recruitment processes, issuing of employment contracts and payroll instruction. This will include providing on the job training to colleagues on specific areas or systems if required.
  • Some direct responsibility for finance through the appropriate and accurate regular preparation of pay information and raising invoices.
  • Direct responsibility for appropriate and careful handling of confidential and sensitive employee information including updating and maintaining accurate employee files and records.

  • Ability to complete tasks accurately and demonstrate strong attention to detail.
  • Effective interpersonal and customer service skills, with ability to build and maintain effective working relationships internally and externally.
  • Effective written and oral communication skills to communicate clearly and concisely with others.
  • Proficient in using Microsoft Office to produce data and information in a clear and meaningful way, including Outlook, SharePoint, Word, PowerPoint and Excel.
  • Ability to manage business and employee information with confidentiality, discretion and sensitivity.
  • Ability to plan and prioritise own workload to meet tight deadlines and objectives, balancing competing demands and priorities with the minimum of supervision.

 

Qualifications and Experience

  • 4 GCSE A-C passes including English and Maths (or equivalent).
  • CIPD level 3 is desirable but not essential.
  • Experience of using Microsoft Outlook, Word, Excel and PowerPoint for producing correspondence, reports, presenting information and data.
  • Experience of working within a customer orientated environment.
  • Experience of providing a fast-paced, efficient administrative service.
  • Experience of working in an administrative role within an HR/People environment.
